Why this clause exists
We believe in mutual respect for time and responsibilities. To ensure smooth and timely project delivery, we include an automatic approval policy for all milestones and final deliveries.
This policy protects both the client and developer from indefinite delays due to inactivity. It allows us to close projects cleanly, manage resources effectively, and avoid project standstills due to prolonged silence or postponed feedback.
How it works
Whenever we deliver a project milestone (or the full system), we send a delivery email with a clear summary of what has been completed and what's expected next.
You can respond in one of the following ways:
1. If you're satisfied with the delivery
Please reply to the delivery email with a simple confirmation (e.g., “Confirmed” or “Approved”).
We’ll mark the milestone as complete and proceed with the next step, such as invoicing, deploying the next milestone, or preparing for migration.
2. If you’re not satisfied or require changes
Reply to the email and describe any issues or adjustments needed.
We’ll review your comments and apply the necessary changes - usually using the available quota for revisions.
We may also propose an Add-on if the request goes beyond the approved scope.
What if you don’t respond?
If we do not receive a response within a reasonable review period - typically between 1 to 3 months, depending on the terms outlined in your contract - the delivery will be automatically considered officially approved.
At that point:
- The delivery is assumed to be accepted
- The milestone is marked as completed
- The system is treated as fully delivered
- Any included warranty or post-launch period begins
- We reserve the right to recalculate the project scope or pricing if further work is requested after prolonged inactivity
This ensures projects remain manageable and that timelines are respected for both sides.
Automatic acceptance certificate
In addition to email confirmation, payment of an invoice is considered formal acceptance of the associated milestone or delivery.
This acts as a legally binding automatic acceptance certificate, meaning:
- Payment = official confirmation
- No additional approvals or sign-offs are required
- The milestone is closed, and all terms (including warranties and quotas) are applied from that point
In summary
- After each delivery, we ask for your confirmation or feedback via email
- If we don’t hear from you within a reasonable period, the delivery is automatically considered officially approved
- Payment also serves as a formal acceptance
- This protects both parties and ensures the project moves forward without delays
- Re-engaging a dormant project may require updated estimates and adjusted pricing
